When to apply
You must apply for grant aid during the planning stage of a project. Grants are NEVER given retrospectively and cannot be awarded for work that is already started or has been completed.
Emergency grants will be awarded only in exceptional circumstances e.g. urgent work for Health and Safety reasons. Cases such as opportunities to purchase land and urgent building repairs will be dealt with sympathetically. Officers will always discuss options with you but PLEASE speak to us before authorising work.

This timetable is intended to help you plan your project and application. Please note decisions can be made at other times. If you need us to make a decision on a grant quickly, please inform the officer dealing with your application.

Officers aim to process applications within 8 weeks of receiving a complete application (i.e. with all supporting information). Normally you will be informed of the decision much sooner. Please read the information below carefully - especially details about supporting information and evidence.
Please note that a seperate one-off annual deadline exists for the Locally Managed Play Scheme Grant Fund. For applications relating to the 2010/11 financial year the deadline is 31 December 2009. Please speak to the Lead Officer for more details.
When is payment made?
Whether payment is made before or after you have completed the project varies from scheme to scheme. Successful applicants will be sent a funding agreement or letter. This will tell you any conditions attached to the grant such as:
- How to claim money when you need it
- The period when the grant is available. Local Authority Financial Regulations mean the grant award is not open-ended. You must claim it within a specified time-span or the money is lost.
- Providing evidence that you have made payments e.g. invoices
- A payment schedule for large projects where money is paid in instalments. If you want advance payments you should include this in your application.
- Publicity: Successful applicants must publicise the support awarded. Guidelines for acknowledging support by Basingstoke and Deane Borough Council are available from 01256 844844.
Sometimes you do not need the entire grant. In this case the final payment will be for the balance needed for the project. Any extra funds will be returned to the “pot”.
Do you want to invite someone from the Council to an event?
Successful applicants of the grant schemes often wish to invite someone from the Council to attend an event.
- Basingstoke and Deane Borough Council operate a community policy whereby it is the Mayor who should be given the opportunity to represent the Council at any major event organised by you;
- The allocation of grant funding or rent subsidy by the Borough Council is deemed to include the cost of tickets for the Mayor and Mayoress to attend any such functions.

A. Applications which help to deliver the Council Plan will be prioritised. The objectives are as follows;
- To secure and enhance prosperity
- To maintain and enhance local community well-being
- To build and sustain a strong focus on inclusion
- To develop and support effective partnerships focused on community priorities

B. You should only fill in an application form when you have planned your project completely. Officers can help you to develop your project. If you are planning a capital project e.g. a building, sports provision YOU MUST speak to a Leisure Officer first.
C. Only go into the detail you have space for – the forms are designed to give a hint about suitable detail. You can provide separate background information if you wish.
D. If you can demonstrate that your project will be able to continue without grant aid after the agreed period this is likely to help.
