It is important that the Mayor is aware of the format that your event will take including speeches, by who and when.
Please email mayoralcoordinator@basingstoke.gov.uk at least three days before the meeting/event, the format/agenda and include the following information:
- Mayor arrival time
- Mayor introduced to – names
- Welcome speech - time and by whom
- Mayor's speech – time and subject
- Other speeches - time and by whom
- Mayor departure time
Name of person responsible for event safety
We require the following documents covering your event to be sent to mayoralcoordinator@basingstoke.gov.uk at least three days before for event.
If we do not receive the requested information the Mayor or Deputy Mayor may not be able to attend your event.

- Fire Risk Assessment
